WhatsApp Broadcast: How to Send One Message to Many Contacts, and Its Limits
October 15, 2026Most WhatsApp marketing messages fail for a boring reason: they read like a newspaper advertisement that somebody pasted into a chat. WhatsApp is where people talk to family and friends, so a message that opens with “MEGA SALE!!!” and three paragraphs of terms feels like an intruder. The ones that work sound like a person, say one thing, and make the next step obvious. Below are 18 examples you can adapt, grouped by the kind of business we see using them most, followed by the mistakes that get messages ignored or blocked.
What Makes WhatsApp Marketing Messages Work
Good WhatsApp marketing messages share a handful of habits, and none of them need a copywriter.
- They use the person’s name and a real detail. “Hi Meena, the blue kurta you asked about is back” beats “Dear customer” every time.
- They have one purpose. A fee reminder is a fee reminder. Adding the annual day invitation underneath means neither gets read properly.
- They fit on the screen without scrolling. Three or four short lines is a comfortable limit.
- They end with one clear action. A link, or a single word to reply with. Not both, and never five.
- They arrive at a sensible hour. Late morning and early evening are safe. Nobody thanks you for an offer at 11 pm.
In the examples, anything in double curly brackets, such as {{name}}, is a placeholder that your sending tool replaces for each contact.

Promotional WhatsApp Messages vs Useful Ones
Look back at the list and you will notice two kinds. Numbers 4, 5, 7 and 13 are promotional WhatsApp messages: they try to sell something. Numbers 1, 3, 8 and 17 are closer to service: they tell someone a thing they need to know about a fee, a report or an event they already signed up for.
The difference matters for two reasons. People tolerate far more of the second kind, so a business that only ever sends offers trains its customers to mute it. And if you send through WhatsApp’s official platform, the two are billed differently, with promotional templates costing more than reminders and receipts. Our guide to the WhatsApp Business API explains how that pricing works. A reasonable habit is to send at least one useful message for every WhatsApp promotion message you send.
Mistakes That Get WhatsApp Marketing Messages Ignored or Blocked
- Messaging people who never agreed to it. The WhatsApp Business Messaging Policy requires opt-in, and bought contact lists are the fastest way to get reported.
- Sending too often. Two or three messages a month is plenty for most shops. A daily offer is how you end up muted.
- Writing in capitals with a row of emojis. It reads as shouting, and it looks like every scam message people already receive.
- Hiding who you are. If the business name is not in the first line, many people will not read the second.
- Offering no way out. A line such as “Reply STOP to opt out” costs you a few contacts and saves your number’s reputation.
One caveat about every example on this page: none of them is guaranteed to work for your customers. A message that fills tables for a restaurant in Vrindavan may fall flat for one in Delhi. Send two versions to small groups, see which gets more replies, and keep the winner.
Sending These to Hundreds of People
For a small list, the free WhatsApp Business app does the job. You create a broadcast list, paste the message and send. The limits appear quickly, though: a WhatsApp broadcast message reaches at most 256 contacts per list, only people who saved your number receive it, and you cannot put each person’s name or fee amount into the text without typing it by hand.
Past that point you need a tool that reads your contact sheet, fills in the placeholders and reports what was delivered.
Where Inverosoft fits in
We built our bulk WhatsApp messaging software for exactly this job. You upload an Excel or CSV list, choose the group that should receive the campaign, pick a template, and it fills in names, amounts and dates for each contact. You see the estimated cost before sending and the sent, delivered, read and failed counts afterwards. It runs on official WhatsApp Business messaging, not on a tool that automates WhatsApp Web. If you would like to see it with your own contact list, ask us for a demo.
Frequently Asked Questions
How long should WhatsApp marketing messages be?
Short enough to read without scrolling, which usually means under 60 words. If you need more room, put the detail behind a link or in an attached PDF.
Can I send WhatsApp marketing messages to anyone whose number I have?
No. WhatsApp expects people to have agreed to receive messages from your business. Messaging numbers from a purchased list leads to blocks and reports, and enough of those can get an account restricted.
How often should a business send promotional messages?
For most small businesses, two to four a month is a sensible ceiling, with useful reminders and updates in between. Watch your replies and blocks: if replies fall and blocks rise, you are sending too many.
Do I need approval before sending these templates?
Not on the free WhatsApp Business app. On the official platform, each template is submitted to Meta once and approved before its first use, after which you can reuse it with different names and details.
Good WhatsApp marketing messages are less about clever wording and more about respect for the person reading them: a real reason to write, said briefly, at a decent hour. Start with one example from this page, change it until it sounds like you, and send it to twenty customers before you send it to two thousand.
