WhatsApp Chatbot for Business: What It Can Do, What It Costs, and Where It Falls Short
October 15, 2026Every coaching centre, boutique and clinic in India eventually tries the same thing: one message, typed once, sent to everyone. WhatsApp broadcast is the built-in way to do it, and for a small list it works well. It also has rules that are not obvious from the app itself, which is why so many people send a broadcast, see one grey tick, and wonder where the message went. This guide covers how a WhatsApp broadcast works, how to set one up on your phone, the limits you will run into, and what to use once you outgrow it.
What a WhatsApp Broadcast Actually Does
A broadcast sends the same message to a saved list of contacts, but each person receives it as an ordinary one-to-one chat from you. Nobody sees who else is on the list. When someone replies, the reply comes only to you, and the other recipients never see it.
That privacy is the main reason to choose a broadcast over a group. Parents of a Class 7 section do not need each other’s phone numbers, and a jeweller’s customers certainly do not. It also means each reply lands in its own chat, which is pleasant with 30 contacts and hard work with 300.
How to Create a WhatsApp Broadcast List
The steps are almost identical on Android and iPhone. The menu sits under the three dots on Android and the “more options” button on iPhone.
- Open WhatsApp and go to the Chats tab.
- Tap the more options menu and choose Broadcast lists.
- Tap the button to create a new list.
- Search for or select the contacts you want, then confirm.
- Give the list a clear name, such as “Class 7B parents” or “Wedding season customers”, so you pick the right one later.
To send, open the list from your Chats tab and type as you would in any chat. To add or remove people, open the list, go to Broadcast list info and tap Edit recipients. One thing to know before you plan around it: WhatsApp’s help centre notes that broadcast lists are not supported on WhatsApp Web or the Windows and Mac apps, so this is a phone-only job.
Why Some People Never Get Your Broadcast
This is the question we hear most. A broadcast is delivered only to people who have saved your number in their phone’s contacts. If a customer gave you their number at the counter but never saved yours, the message simply does not reach them. Your phone shows it as sent, and there is no error to tell you otherwise.
The fix is low-tech. Print “Save our number to get offers and updates” on the bill, the visiting card and the shop counter, and ask new customers to save it while they are standing in front of you. A list where half the people have not saved you is a list where half your messages vanish.
WhatsApp Broadcast Limits You Should Know
- 256 contacts per list. You can create as many lists as you like, but each one holds at most 256 people. A school with 1,200 parents needs at least five lists and five separate sends.
- A monthly cap in some countries. WhatsApp has started rolling out a limit on how many broadcasts a person can send each month. Its help centre puts the free allowance at 35 broadcast messages a month where the limit applies, and says the rollout is gradual. You can check whether it applies to you under Settings, then Broadcasts.
- No personalisation. Everyone receives exactly the same text. You cannot drop in each parent’s fee amount or each customer’s name.
- No real reporting. You can see ticks per person by opening message info, but there is no summary of how many were delivered or read across the list.
None of these are problems for a salon sending a festival greeting to 80 regulars. They become real problems for anyone sending to thousands, or sending something where each person’s details differ.
Broadcast List vs Group vs Channel
| Broadcast list | Group | Channel | |
|---|---|---|---|
| Who sees whom | Recipients cannot see each other | Every member sees every other member | Followers cannot see each other |
| Replies | Private, to you only | Visible to the whole group | Emoji reactions only, no replies |
| How people join | You add them; they must have saved your number | Added by an admin or through an invite link | They choose to follow |
| Best for | Private updates to customers or parents | Teams and small communities that talk back | Public announcements to anyone interested |
A common mistake is using a group where a broadcast belongs. Put 200 customers in one group and you have shared all their numbers with each other, and one “please remove me” message becomes forty of them.
Writing a Broadcast People Actually Read
Because a broadcast arrives looking like a personal chat, it should read like one. Start with who you are, keep it to a few lines, and end with one thing the person can do. “Hi, this is Sharma Opticals. Your free eye check-up is due this month. Reply YES and we will ring you to book a slot.” works far better than a long block of offers. Our list of WhatsApp marketing message examples has 18 more you can adapt.
Frequency matters as much as wording. A broadcast every day trains people to mute you; two or three a month, with at least one that is genuinely useful, keeps you welcome.
When You Outgrow WhatsApp Broadcast
You have outgrown the phone broadcast when you find yourself splitting contacts into many lists of 256, chasing people to save your number, or retyping fee amounts one parent at a time. At that point the official route is the WhatsApp Business Platform, where messages go out from software instead of a phone. Recipients do not need to have saved your number, though they do need to have agreed to hear from you, and every message comes back with a delivered or read status.
It is not free, and it is not the right choice for everyone. Each template message is charged, templates need Meta’s approval, and new accounts start with a cap on how many people they can message per day. Our WhatsApp Business API guide explains the pricing and limits in detail. If you message fewer than a few hundred people and the same text suits all of them, the free broadcast list is still the sensible answer.
Where Inverosoft fits in
Our WhatsApp bulk messaging software picks up where broadcast lists stop. You upload contacts from Excel or CSV, organise them into groups such as classes or customer types, and send one campaign that fills in each person’s name, amount or date. Before a campaign goes out it shows what it is likely to cost, and afterwards it tells you how many messages were delivered, read or failed. Everything runs on official WhatsApp Business messaging. When replies start piling up, our WhatsApp chatbot guide explains how to answer the common questions automatically. If you are not sure whether you need it yet, ask us and we will give you a straight answer.
Frequently Asked Questions
How many people can I send a WhatsApp broadcast to?
Up to 256 contacts per broadcast list. You can make as many lists as you need, but each list is sent separately, and in some countries a monthly limit on broadcasts now applies.
Do people know they are on a broadcast list?
No. The message arrives as a normal chat from you, and recipients cannot see the list or anyone else on it.
Why does my broadcast show one tick for some contacts?
Usually because those people have not saved your number. A broadcast is only delivered to contacts who have you in their phone’s address book, so ask them to save it.
Can I send a WhatsApp broadcast from my computer?
No. WhatsApp’s help centre says broadcast lists are not supported on WhatsApp Web or the Windows and Mac apps, so you need to send them from your phone.
For a small business, a WhatsApp broadcast is one of the most useful free tools on the phone, as long as you know its limits. Use it for what it does well, and when the lists get too long or the messages need to be personal, talk to us about the next step.
