What Is ETL? How Extract, Transform, Load Works and How to Choose ETL Tools
October 19, 2026Ask a diagnostic lab what its front desk does all morning and the answer is mostly the same five questions on WhatsApp: what time do you open, how much is a thyroid test, is home collection available, is my report ready, where exactly are you. A WhatsApp chatbot exists to answer those five questions at 7 am, at 11 pm and on Sunday, so that staff can deal with the patients standing in front of them. This guide explains what a WhatsApp chatbot can realistically handle, the difference between simple and AI-driven bots, what it costs to run on the official platform, and the rules Meta now enforces on every bot.
What a WhatsApp Chatbot Is (and Isn’t)
A WhatsApp chatbot is software connected to your business number that reads incoming messages and replies automatically. It runs on the WhatsApp Business Platform, not on the phone app, which is why it can answer hundreds of people at once and keep a record of every conversation.
It is worth separating it from the auto-reply in the free WhatsApp Business app. The app can send a greeting message to new customers and an away message outside your hours, and it lets you save quick replies for staff to tap. That is useful, but it is one fixed message, not a conversation. A chatbot can ask a question, understand the answer, look something up and respond with the right detail.
Rule-Based Bots vs AI Chatbots
There are two broad kinds, and most businesses should start with the first.
- Rule-based bots work from menus and buttons. “Reply 1 for timings, 2 for test prices, 3 for your report.” They are predictable, cheap to build, and they never invent an answer. They struggle when a customer types something the menu did not expect.
- AI chatbots understand free-typed questions, including Hinglish and spelling mistakes, and can answer from your own price list, FAQs or documents. They handle messy real-world messages much better. They also need guard rails, because a bot that is not tied tightly to your data can answer confidently and wrongly.
In practice the best WhatsApp chatbots mix both: buttons for the common paths, AI for the questions that do not fit, and a quick hand-over to a person when the bot is unsure. Our guide to AI chatbot development goes deeper into how the AI side is built and tested.
What WhatsApp Automation Handles Well
WhatsApp automation earns its keep on questions that are frequent, factual and repetitive. A few examples by type of business:
- Clinics and labs: opening hours, test prices, home collection booking, report status, directions.
- Schools and coaching centres: fee due dates, admission process, timetable, holiday lists, transport routes.
- Retail and restaurants: stock questions, order status, table bookings, today’s menu, store location.
- Real estate: project details, price sheets, brochure requests, booking a site visit, capturing the lead’s budget and preferred area.
What it handles badly is anything that needs judgement or empathy: a complaint about a wrong report, a parent upset about a fee, a negotiation over price. A good bot recognises those and passes them to a person straight away, with the conversation so far, so the customer does not have to repeat themselves.
What a WhatsApp Chatbot Costs to Run
There are two separate costs: building the bot, and sending messages through Meta’s platform.
The messaging side is friendlier to chatbots than to campaigns. A customer’s message starts a 24-hour customer service window, and Meta does not charge for the ordinary replies you send within it. Since most chatbot work is answering people who wrote first, a large share of a bot’s messages cost nothing from Meta. Charges apply when you start conversations yourself with template messages, such as reminders or offers. We cover the pricing categories in our WhatsApp Business API guide.
The build cost depends on how much the bot has to know and connect to. A menu bot answering fixed questions is a small project. A bot that checks live report status in your lab software, or books appointments into a calendar, needs integration work and testing, and costs more. If you are quoted a fixed price before anyone has asked which systems the bot must talk to, the quote is a guess.
The 2026 Rule on AI Bots
Meta tightened its terms for the WhatsApp Business Platform, and the change took full effect in January 2026. The WhatsApp Business Solution Terms now bar providers from using the platform to offer general-purpose AI assistants, the kind of open-ended “ask me anything” chatbot, where the AI itself is the main thing being offered.
For an ordinary business this is reassuring rather than limiting. A WhatsApp chatbot that answers questions about your own clinic, school or shop, books appointments and tracks orders is using AI as part of customer service, which the terms allow. What you cannot do is put a general AI assistant on your number as a product in its own right. The terms also restrict using WhatsApp conversation data to train AI models other than one built for your own exclusive use, which is worth raising with whoever builds your bot.
How to Plan a WhatsApp Chatbot That People Use
- Count the questions first. Export a month of WhatsApp chats and list the 15 questions that come up most. That list is your bot’s first version.
- Write the answers yourself. Prices, timings and policies must come from you, not be guessed by software.
- Decide the hand-over. Name the person who takes over when the bot is stuck, and the hours they are available.
- Keep the first message short. A greeting with three or four buttons beats a paragraph explaining everything the bot can do.
- Read the transcripts every week. The questions the bot failed on tell you exactly what to add next.
One honest caveat: a chatbot will not fix slow or unclear service underneath it. If your staff cannot say when a report will be ready, the bot cannot either. Sort out the answer first, then automate it.
Where Inverosoft fits in
We design and build AI chatbots and automation for businesses, and we can help you work out whether a simple menu bot or an AI chatbot suits your volume of questions. For the other half of WhatsApp communication, sending reminders, fee notices and offers to large contact lists, we built our own WhatsApp bulk messaging software on official WhatsApp Business messaging. If you send one-way updates today, our WhatsApp broadcast guide covers the free option and its limits. To talk through a chatbot for your business, get in touch.
Frequently Asked Questions
Can I add a chatbot to my existing WhatsApp Business number?
Usually yes, but the number has to be connected to the WhatsApp Business Platform, because chatbots do not run on the phone app. Your provider will take you through moving or connecting the number.
Is a WhatsApp chatbot free?
Replies sent within 24 hours of a customer’s message are free from Meta, so many chatbot messages cost nothing to send. Building and hosting the bot, and any template messages you send first, do cost money.
Can a WhatsApp chatbot reply in Hindi?
Yes. A rule-based bot can show Hindi menus and answers, and an AI chatbot can understand Hindi, English and mixed Hinglish messages, provided it is set up and tested with them.
Will a chatbot replace my front-desk staff?
It should not, and in our experience it works best when it does not try to. A chatbot takes the repetitive questions off their plate so they can handle the conversations that need a person.
A WhatsApp chatbot is worth building when the same questions arrive every day and customers are waiting for answers you already know. Start small, measure what it handles, and grow it from real conversations. If you would like a second opinion on where to start, reach out.
